Wellness Warehouse Challenges
Due to the wide spread of their retail stores across South Africa Wellness Warehouse faced a problem with Employee Time and Attendance tracking. Not only this, but they also needed help securing their Warehouse and Head Office premises and internal areas with Biometric Access Control. The solution to these problems needed to be a turnkey all-in-one system, and the administration of the software needed to be centralised in Cape Town for all the 50+ Retail Stores, Warehouse and Head Office. A tall order in anyone’s book.
They were looking for a system that offered the following:
- Fingerprint Biometric Readers at 50+ retail stores to eliminate manual registers, ensure staff cannot cheat with their clocking times and also eliminate buddy clocking.
- Securing access to the Warehouse and Head Office with Turnstiles and Fingerprint Access Control.
- Accurate time and attendance data centralized in Cape Town for all their employees spread across all their sites.
- Facility to manage staff transfer between all sites.
- Shift schedule management and a provision to customize shift rules and reports.
- Leave management solution with the facility to integrate leave records with the Payroll system.
- Different levels of access for HR and Line Managers.
Solution
Biometric Time Solutions designed and implemented a turnkey Time and Attendance, Access Control Solution using Fingerprint Biometrics:
- Installed Fingerprint Readers with Battery Backup Power Supplies in each of the 50+ stores nationwide for Time and Attendance tracking.
- Installed Fingerprint Readers with Battery Backup Power Supplies for Access Control points including integration with Full Height Turnstiles and Electronic door locks at the Warehouse and Head Office.
- Enabled both Time & Attendance and Access Control on certain Fingerprint Readers reader for designated employees where both functions were required for on a single reader.
- Enabled cross-site clocking for the attendance of staff who work at different stores.
- Implemented a Cloud Based centralised and consolidated database of the time and attendance data of all employees irrespective of their location.
- Provided advanced shift scheduling features and custom policies and compliances
- Implemented customizable leave policies as per location and staff categories for easy leave management. Setting weekly off and public holidays and generating customized reports for leave balance also included.
- Set up a multiple-level hierarchy for attendance access at different levels.
- Facilitated easy integration with their Payroll System, making monthly payroll fast and hassle-free.
- Worked closely with the Wellness Warehouse HR team to understand their time and attendance gaps and implement the required customization and solutions.
