IBCO Challenges
IBCO, with 2 factories i.e. one in Cape Town and the other in Johannesburg faced a problem with Employee Time and Attendance tracking. Not only this, but they also needed help securing their premises and internal areas with Biometric Access Control. Furthermore, their Production department needed to allocate labour hours to specific Jobs and Customers. The solution needed to be a turnkey all-in-one system, and the administration of the software needed to be centralised in Cape Town for both sites. A tall order in anyone’s book.
They were looking for a system that offered the following:
- Facial Recognition Biometric Readers to alleviate the problem where employees can’t clock due to damaged fingerprints.
- Securing access to the premises with Facial Recognition.
- Securing access to the employee bathrooms with Turnstiles and integrated Facial Recognition, thereby monitoring bathroom breaks and identifying break-time abusers.
- Securing access to the employee canteen with Turnstiles and integrated Facial Recognition, thereby monitoring lunch and tea breaks and identifying break-time abusers.
- Securing access to Storerooms with Electronic Door Locks and integrated Facial Recognition, thereby preventing stock theft.
- Accurate time and attendance centralized in Cape Town for their employees spread across two sites.
- Allocation of Labour hours to specific Jobs or Customers in order to analyse overruns and also for invoicing of Customers.
- Facility to manage staff transfer between both sites.
- Shift schedule management and a provision to customize shift rules and reports.
- Leave management solution with the facility to integrate leave records with the Payroll system.
- Different levels of access for admins and supervisors
Solution
The Biometric Time Solutions Team helped IBCO by designing and implementing a turnkey Time and Attendance, Access Control and Job Costing Solution using Facial Recognition Biometrics:
- Installed multiple Facial Recognition Readers with Battery Backup Power Supplies at key areas for Time and Attendance.
- Installed Facial Recognition Readers with Battery Backup Power Supplies at designated Access Control points including integration with Full Height Turnstiles and Electronic door locks.
- Enabled both Time & Attendance and Access Control on certain Facial recognition reader for designated employees where both functions were required for on a single reader.
- Installed Job Costing readers in Production areas for employees to be assigned to certain jobs or tasks.
- Enabled cross-site clocking for the attendance of staff who work at both sites.
- Implemented a centralised and consolidated view of the time and attendance data of all employees irrespective of their location.
- Provided advanced shift scheduling features and custom policies and compliances
- Implemented customizable leave policies as per location and staff categories for easy leave management. Setting weekly off and public holidays and generating customized reports for leave balance also included.
- Set up a multiple-level hierarchy for attendance access at different levels.
- Facilitated easy integration with their Payroll System, making monthly payroll fast and hassle-free.
- Worked closely with the IBCO team to understand their time and attendance gaps and implement the required customization and solutions.
